Scheduling Practices & Games

Build your season calendar, notify parents instantly, and track who's showing up — all in one place.

Creating a New Event

From your team's Schedule tab, click Add Event. You'll see a form with the following fields:

  • Event type — Practice or Game
  • Date & time — start time is required; end time is optional
  • Location — field name, venue address, or landmark
  • Notes — any extra info for parents (e.g. "bring extra water", "meet at east entrance")

Once saved, parents receive an in-app notification and can immediately RSVP for their child.

Practice vs. Game: What's the Difference?

Both event types work the same way — the distinction is purely for labelling and filtering. Games are highlighted differently on the parent's view so families know when to arrange travel or arrive earlier. Use the type that accurately reflects the event so parents can plan accordingly.

Setting the Location

Enter the venue or field name along with an address in the Location field. Parents see this on the event card and can tap it to open directions in their maps app. Being specific here — "Field 3, North Riverside Park, 123 Park Road" rather than just "Riverside Park" — saves a lot of confusion on game day.

If your team uses the same few locations all season, copy and paste the location text to keep it consistent.

Editing an Existing Event

Plans change. To update an event, open it from the Schedule tab and click Edit. You can change the time, location, or notes. Parents with existing RSVPs are notified of the change so they can update their plans if needed.

Cancelling an Event

If a practice or game is cancelled, open the event and select Cancel Event. All parents who have RSVPed (or not yet responded) will receive a cancellation notification. Cancelled events remain visible on the schedule so parents can see the history.

Always cancel formally through the app rather than just messaging parents — the notification goes to everyone, not just those who saw your message.

Reading the Attendance Count

Each event shows a live RSVP summary: going, maybe, can't go andno reply. Use this before each event to know how many players to expect and follow up with parents who haven't responded. See the Tracking Attendance guide for more detail.
