Please read these Terms of Service carefully before creating an account or using the Squad platform. By signing up or continuing to use Squad, you agree to be bound by these terms.
These Terms of Service ("Terms") constitute a legally binding agreement between you ("User," "you," or "your") and Squad ("Company," "we," "us," or "our") governing your access to and use of the Squad platform, including the website, web application, and all related services (collectively, the "Service").
By creating an account, clicking "Create Account," or otherwise accessing the Service, you confirm that: (a) you have read and understood these Terms; (b) you agree to be bound by them; and (c) you have the legal capacity to enter into a binding agreement. If you are agreeing on behalf of an organisation (such as a sports club), you represent that you have authority to bind that organisation.
If you do not agree to these Terms, you must not create an account or use the Service.
Squad is a sports team management platform that enables:
Squad is a software tool. Sports clubs and teams that use Squad are independent of us: we do not organise, run, supervise, or insure any sports activity, and we are not the seller of any club fee, programme, or registration.
The Service is provided on an "as is" and "as available" basis. We reserve the right to modify, suspend, or discontinue any part of the Service at any time with reasonable notice where practicable.
To create an account, you must be at least 18 years of age, or the age of legal majority in your jurisdiction if higher. By registering, you represent and warrant that you meet this requirement.
Squad does not permit children under 13 years of age to create their own accounts. Children's information (such as name and year of birth) is entered into the platform by their parent or legal guardian who holds the parent account. By adding a child's information to the Service, a parent or guardian represents that they have full authority to provide that information and consent to its processing as described in our Privacy Policy.
We designed Squad with the Children's Online Privacy Protection Act ("COPPA") in mind. If we become aware that a child under 13 has directly registered an account without parental consent, we will promptly delete that account and associated data. To report such a case, contact us at contact@squadroot.com.
Players under 18 do not hold their own Squad accounts. Their information is managed by a parent or guardian, who is responsible for all activity relating to their minor children on the Service and agrees that this use is subject to these Terms.
When you register for an account you agree to:
Each person may maintain only one account. Creating multiple accounts to circumvent restrictions or for any abusive purpose is prohibited. We reserve the right to suspend or terminate accounts that we reasonably believe are in violation of these provisions.
Coaches and assistant coaches are responsible for the teams they manage and the invitations they send. You agree to:
By adding your child's information to Squad, you confirm that you are the child's parent or legal guardian, or have explicit permission from the parent or guardian to do so. You are responsible for:
Club Managers are responsible for ensuring that coaches operating under their club account comply with these Terms. Club Managers should have appropriate data processing agreements or policies in place with coaches that address the handling of children's data within their organisation.
The collection, use, and storage of personal data (including data about children) is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to the data practices described in the Privacy Policy.
You are responsible for the accuracy of data you input into the Service, including children's names, years of birth, and contact information. Do not enter sensitive categories of data (such as medical conditions, financial information, or government-issued ID numbers) into Squad unless expressly supported and required for the Service.
If you are a Coach or Club Manager, you may act as an independent data controller in respect of the personal data of players and parents in your team. You are responsible for ensuring that you have a lawful basis to collect and process that data, that you comply with applicable data protection laws (including the GDPR where applicable, the UK GDPR, CCPA, and COPPA), and that you only use data about children for the specific purpose of managing your sports programme.
If you are located in the European Economic Area or the United Kingdom, you have rights under the General Data Protection Regulation (GDPR) or UK GDPR including the right to access, rectify, erase, restrict processing, object to processing, and data portability. To exercise these rights, contact us at contact@squadroot.com.
Residents of many U.S. states have specific privacy rights under state law. In all cases, Squad does not sell personal information. To exercise any right, contact us at contact@squadroot.com.
For the full description of rights by state, see Section 11 of our Privacy Policy.
You agree not to use the Service to:
We reserve the right to investigate and take appropriate action against users who, in our sole discretion, violate this policy, including removing content, suspending or terminating accounts, and reporting to law enforcement.
You retain ownership of all content you submit, post, or upload to the Service ("User Content"), including messages and photographs shared in team communication threads. By submitting User Content, you grant us a limited, non-exclusive, royalty-free, worldwide licence to store, display, and transmit that content solely as necessary to provide the Service.
All User Content must comply with Section 7 (Acceptable Use Policy). You are solely responsible for ensuring you have the right to share any photos or images, including obtaining appropriate media consent from parents before sharing images of minors.
The Service and its original content (excluding User Content), features, and functionality are owned by Squad and are protected by copyright, trademark, and other intellectual property laws. You may not copy, modify, distribute, or create derivative works based on our content without express written permission.
This section covers what a club pays Squad to use the Service. Fees that parents pay to their club are covered by Section 10.
The Service includes a free plan for one team, with limits on the number of players and coaches shown on our pricing page. No payment information is required to use the free plan.
Club Managers may subscribe to paid plans that provide additional capacity for their club. Subscription fees are charged monthly or annually, according to the billing interval you choose when subscribing. By subscribing you authorise us to charge the applicable fees to your payment method on a recurring basis until you cancel.
All payments are processed by Stripe, Inc. Your payment information is submitted directly to Stripe and is subject to Stripe's terms of service and privacy policy. We do not store your full card details on our systems.
You may cancel your subscription at any time from your account settings. Cancellations take effect at the end of the current billing period. We do not provide refunds for the remaining portion of any billing period, except where required by applicable law. If you believe you have been charged in error, contact us within 30 days at contact@squadroot.com.
We reserve the right to change subscription pricing. We will give you at least 30 days' notice of any price change before it takes effect, allowing you to cancel before the new price applies.
A club may use Squad to ask parents and guardians to pay club fees (for example season, registration, or uniform fees), as a one-time payment or a recurring subscription.
Club fees are paid to the club, not to Squad. Payments are processed by Stripe, Inc. directly into the club's own Stripe account, and the club appears as the seller. Squad is not a party to the arrangement between a club and its families, does not take a share of club fees, and does not hold club funds. The club alone decides the amount, what the fee covers, the season it covers, and its own refund and cancellation policy.
Questions about a club fee, requests for refunds, and payment disputes must be raised with the club. Refunds are issued by the club from its Stripe account. Chargebacks and disputes are the club's responsibility as the seller, as set out in Stripe's terms, including any dispute fee Stripe charges. A payment from a US bank account can be reversed by the payer's bank for up to 60 days after it is made. A payment that is disputed or reversed no longer counts as paid, and the fee is shown as owed again.
Stripe charges processing fees on each payment, and the fee depends on how the parent pays (for example, card or US bank account). A club may choose to absorb these fees or to add them to the amount the parent pays; the total for each payment method is shown before payment.
A club may also accept payments outside Squad (for example Zelle, Venmo, check or cash). Those payments are made directly between the parent and the club; Squad does not process, receive or verify them, and a fee is marked paid only once the club confirms it.
By starting a recurring club fee, a parent authorises the club to charge their payment method on the schedule shown until the fee's end date, until they cancel, or until the club ends the fee. Some payment methods (such as US bank accounts) take several days to settle, and a payment is shown as paid only once it has settled.
A club that collects fees through Squad must accept Stripe's Connected Account Agreement, keep accurate information with Stripe, describe each fee honestly, and comply with all laws that apply to it, including tax and consumer protection laws. We may suspend a club's ability to collect fees if we reasonably believe it is being misused, or after repeated disputes, and we may delay payouts to a new club for its first weeks.
A club may connect a Stripe account it already has instead of creating one through Squad. That account stays the club's own: the club manages it with Stripe directly, carries any disputes and negative balance on it, and may disconnect it from Squad at any time.
Clubs may publish consent forms (such as medical, liability, photo, or code of conduct forms) for parents and guardians to sign in Squad.
Squad does not sell or show advertising. We do not use advertising networks or advertising trackers, and we do not sell your data or use it to target ads.
We encourage clubs to recognise the local businesses that support them. A club may list its own sponsors, and they are shown labelled "Club sponsor" on the club's public page, in the app to the club's families, coaches and staff, and in the club's emails to families.
Clubs and their managers, coaches, and staff provide much of the information in the Service, including club details, schedules, grounds, fees, consent forms, photos, messages, and sponsor listings. The club that provides it is solely responsible for its accuracy, completeness, legality, and for having the rights to share it. To the fullest extent permitted by law, Squad is not responsible or liable for any content or data provided by a club or its staff, or for any loss arising from reliance on it. Please contact the club directly about its content, or tell us at contact@squadroot.com if you believe something breaks these Terms.
Sports involve a risk of physical injury. Squad provides scheduling, communication, and administration software only. We do not organise, run, supervise, coach, staff, or insure any practice, game, or other activity, and we do not check the backgrounds, qualifications, or certifications of coaches, staff, or volunteers. We do not inspect or guarantee the safety of any ground, field, or facility listed in the Service.
Responsibility for the safety of players, for supervision, and for safeguarding rests with the club, its coaches and staff, and parents and guardians. Information in the Service, such as event times, locations, weather notes, and live scores, may be inaccurate or out of date; always confirm important details with the club. To the fullest extent permitted by law, Squad is not liable for any injury, illness, loss, or damage arising from any sports activity, travel to or from an activity, or the conduct of any user.
You may close your account at any time. Upon closure, your personal data will be handled in accordance with our Privacy Policy. Note that data entered by other users (such as a coach entering your child on a roster) may be retained by those users' accounts.
We may suspend or terminate your account immediately, without prior notice or liability, if you breach any provision of these Terms, engage in conduct we deem harmful to other users or the Service, or for any other reason at our sole discretion. Upon termination, your right to use the Service ceases immediately.
All provisions of these Terms that by their nature should survive termination will survive, including ownership provisions, warranty disclaimers, indemnity, and limitations of liability.
THE SERVICE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
We do not warrant that the Service will be uninterrupted, error-free, or free of harmful components. We do not warrant the accuracy, completeness, or usefulness of any information on the Service. Squad is a communication and scheduling tool — we are not responsible for the conduct of coaches, parents, or other users on or off the platform.
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL SQUAD, ITS OFFICERS, DIRECTORS, EMPLOYEES, OR AGENTS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFITS, DATA, GOODWILL, OR OTHER INTANGIBLE LOSSES, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF OR INABILITY TO USE THE SERVICE.
OUR TOTAL CUMULATIVE LIABILITY TO YOU FOR ALL CLAIMS ARISING FROM OR RELATED TO THE SERVICE SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID TO US IN THE 12 MONTHS PRECEDING THE CLAIM, OR (B) $100 USD.
Some jurisdictions do not allow the exclusion of certain warranties or limitation of liability for certain types of damages, so some of the above limitations may not apply to you.
You agree to defend, indemnify, and hold harmless Squad and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in any way connected with: (a) your access to or use of the Service; (b) your violation of these Terms; (c) your User Content; or (d) your violation of any third-party rights, including any privacy or intellectual property rights.
We may update these Terms from time to time. When we make material changes, we will notify you by email (to the address on your account) and/or by a prominent notice on the Service at least 14 days before the changes take effect. Your continued use of the Service after the effective date of the revised Terms constitutes your acceptance of the changes.
If you do not agree to the revised Terms, you must stop using the Service and may close your account before the effective date.
These Terms shall be governed by and construed in accordance with the laws of the State of Arizona, United States, without regard to its conflict of law provisions.
Before starting any formal proceeding, you agree to contact us at contact@squadroot.com and give us 30 days to try to resolve the dispute informally.
Any dispute arising out of or relating to these Terms or the Service that cannot be resolved informally shall be submitted to binding arbitration in accordance with the rules of the American Arbitration Association. The arbitration shall be conducted in English, in Maricopa County, Arizona, or by video conference. Either party may instead bring an individual claim in small claims court if it qualifies. Either party may also seek injunctive or other equitable relief in the state or federal courts located in Maricopa County, Arizona, for matters involving intellectual property rights or imminent harm, and both parties consent to the jurisdiction of those courts.
Class Action Waiver: You agree that any dispute resolution proceedings will be conducted only on an individual basis and not in a class, consolidated, or representative action.
If you have questions about these Terms, wish to report a violation, or need to exercise any of your data rights, please contact us:
