For Club Managers

Collecting Club Fees

Collect season fees and dues from parents by card, bank transfer, Zelle, Venmo, check or cash. Card and bank payments go straight to your club's own Stripe account, and Squad takes a 0% cut.

How Club Fees Work in Squad

A club manager creates a payment request for a team (or for specific parents). Every parent it applies to sees what they owe on their dashboard and pays in a couple of taps. The club sees who has paid, who is waiting and who is covered, per team and per family, in one report.

  • 0% Squad fee on every plan, including the free one. Only Stripe's standard processing fees apply.
  • Money goes to the club, never through Squad. Card and bank payments usually reach your bank in a few business days.
  • One-time or recurring fees, charged per family or per player.

Step 1: Choose How Parents Can Pay

Open the Payments tab of your club dashboard. Under How parents can pay you have two options, and you can use both:

  • Card and bank (Stripe) — set up a Stripe account managed by Squad in a few minutes, or connect your club's own existing Stripe account. Parents pay by card, or by US bank (ACH) if you turn that on.
  • Zelle, Venmo, check or cash — parents pay you directly and tell you in the app; you confirm when the money arrives.
Bank (ACH) payments cost 0.8% (at most $5) instead of 2.9% + 30c for cards, which adds up on larger season fees.

Step 2: Decide Who Pays Processing Fees

Under Who pays processing fees, either your club covers Stripe's fee out of each payment, or parents cover it so the club receives the full amount. When parents cover it, Squad adds the fee to the charge automatically.

Step 3: Create a Payment Request

Click New payment request and fill in:

  • Who pays — the whole team, or specific parents
  • Charge per — each family (one charge however many kids they have) or each player (a parent with 2 kids pays twice)
  • One-time or recurring — recurring fees bill monthly, every 3 months, or every 4 months, and need Stripe
  • Season starts / ends — the season the fee covers; recurring billing stops at the end date
  • Due date (optional) and a description

If the team already has a fee for overlapping dates, Squad asks you to confirm it is a separate fee (for example uniforms or a tournament) so families are not charged twice by mistake.

Tracking Payments and Sending Reminders

The payments report shows each family's status. Use Remind to nudge a family who hasn't paid (one reminder per family per fee per day). If a family paid some other way, mark them Paid elsewhere; to excuse a fee, mark it Waived.

When two guardians share a child, the child is paid for once: whichever guardian pays first covers that child, and the other sees the fee as covered.

Refunds, disputes and payouts are managed in your Stripe dashboard, which opens from the Payments tab.

Frequently Asked Questions

Does Squad take a percentage of club fees?

No. Squad takes 0% on every plan. Only Stripe's standard processing fee applies, and you can pass it on to parents.

Can parents pay in instalments?

Yes. Create a recurring fee billed monthly or every few months across the season; the subscription stops at the season end date.

Do we need Stripe to collect fees?

No. Parents can pay by Zelle, Venmo, check or cash and mark it in the app. Stripe is needed only for card, bank and recurring payments.
